Volunteer Role Descriptions

The swim team can't operate without volunteers like you!
Every open position is easily learned, requires no prior experience, and you don't have to do it alone. There are a few positions that require advanced TSA training, as noted with an asterisk*.
- Meet Administrator - manages meet technology, including scoring, making any adjustments for disqualifications or order of finish discrepancies as necessary. Responsible for entering times and order of finish if not automatically input from a timing system. Make DQ slips available to affected coach and swimmer for reference (not to leave pool deck, for inspection only). Previous meet experience strongly recommended.
- Clerk of Course - Lines up the Barracuda swimmers in the order that they swim. The announcer calls for each gender/age group for each event to report to the clerk of course. You will organize the swimmers according to the event sheets and lineup prepared in advance by the coach. You will get to meet all the swimmers and give them a word of encouragement as they line up to swim. You will be moving about the starting end of the pool. Previous meet experience strongly recommended.
- Starter/Announcer* - Furnished by the home team. Utilizing the timing system, this combined role manages both starting and announcing duties. Communicates to swimmers, officials, and observers over the public address system; welcomes the visiting team; announces the officials for the evening; calls each event so the meet flows smoothly; and announces team scores throughout the evening. Additionally, this volunteer has complete control of swimmers delivered to the starting blocks by the clerk of the course. Uses the commands "step up" (or "step in the water" for backstroke), "Timers and judges ready," announces the distance and stroke or relay event, "Take your mark," and presses the starting device button. This position remains stationary at the starting end of the pool. Previous meet experience is strongly recommended. The volunteer should be familiar with the Starter script provided by TSA (available on TSA website link).
- Order of Finish Judge* - Observes and independently records the finish order (1st through 6th) for the main events. You have no duties during non-scoring heats. You will be moving about the pool deck throughout the meet. Each team supplies one OOF Judge. *TSA has made the OOF Judge an optional role depending on the timing system and home team's discretion. The Weldon Ridge Barracudas require OOF Judges for our home meets.
- Timer - Assigned to a single lane for the duration of the meet or work shift. Records times for all swimmers in that lane utilizing the timing system furnished by the home team. You will be moving about the pool deck throughout the meet. The exact number of timers required for each meet depends on the timing system and the home team's discretion. The Weldon Ridge Barracudas use Time Drops System and require two timers (one from each team) per lane for our home meets.
- Runner - Takes the sheet from the Order of Finish Judge and DQ slips from the Stroke and Turn Judges, and carries them to the Meet Administrator's table. The runner must deliver the paperwork directly to the Meet Administrator's table and not allow coaches or other interested parties to see it in transit. This is a mobile position (wear comfortable shoes).
- Stroke and Turn Judge** - Observes swimmers during main events to ensure their strokes, kicks, and turns comply with league rules. The S&T judge is responsible for identifying and disqualifying swimmers who commit rule violations during point-scoring events (non-scoring/exhibition heats are not judged). This judge is positioned along the side of the pool. Each team provides one judge per shift. Requirement: Each S&T Judge must attend the TSA certification clinic prior to the season.
**NOTE: All Stroke and Turn Judges must attend a TSA certification clinic to qualify for the role. Completing this certification earns 1 credit toward your season volunteer requirement (4 shifts plus the mock meet). Certifications do not carry over from previous years; all new and returning judges must renew their credentials by attending one of the clinics listed below.

- Meet Setup - Sets up backstroke flags, lane ropes, chairs behind blocks, scoring, ribbon and announcer tables. You need to have the pool ready for warm ups which begin at 5:00pm.
- Meet Cleanup - Gets the facility back in order, collects trash, puts away lane ropes, backstroke flags, 6-under finish rope, lights, and PA system.
- Concessions - Sets up and operates concession stand at home meets. This position involves some pre-meet preparation.
- Ribbon Distributor - Passes out ribbons to heat swimmers and commends them as they come out of the water. The winner receives a Heat Winner ribbon and all other swimmers in that heat receive a Fast Swim ribbon. You will be located at the finish end of the pool.
- Ribbon Writer - For home meets, print ribbon labels as results are populated and adhere to ribbons for home team. Tally and gather ribbons for visiting team with their labels and provide to their ribbon coordinator. Depending on systems of swim hosts, either write ribbons during meet or follow process similar to home meets.
- Kid Pushers - Supervises an age group of boys or girls during the meet and delivers swimmers to the Clerk of Course according to the meet lineup sheets prepared in advance by the coach showing each swimmer's events. You will be moving about the pool deck, primarily between the team sitting area and the starting end. You will pick up swimmers at the finish end and escort them back to their sitting area. You must stay with the swimmers in the sitting area at all times and monitor behavior. Swimmers should not leave the area other than for bathrooms breaks and concessions and should not do so close to any race time. If you are not comfortable instructing other people's children, or you only want to be with your own children, then this may not be the role for you.
- Tablet (Home meets only) – Monitors and controls the TimeDrop timing system using a provided tablet. This position remains stationary at the starting end of the pool, positioned next to the Starter/Announcer and close to the Meet Administrator's tent. Training is required for any volunteer with no previous experience operating the system.
- Volunteer Coordinator/Floater - Check in volunteers at check in table with Board member, Monitors volunteers to ensure duties are being performed appropriately. Fills in for volunteers if they need a restroom break, etc. Offer water to volunteers as needed.
